BlackRock Administrative Business Coordinator, Aladdin Business in Toronto, Canada

About this role

Your team:

This role would support three managing directors in their roles as leaders within the Aladdin Client Business at BlackRock. These individuals lead our client engagement and marketing segments of BlackRock’s technology business (known as Aladdin). This is an opportunity to work in one of the core pillars of growth at the world's largest asset management firm.

Your role and impact:

You will be responsible for delivery and execution of administrative business support to three leaders of the Aladdin Client Business . You will be responsible for calendar management, supporting office operations, and coordination of events and team activities. You should be motivated, action-orientated, resourceful, organized, and collaborative, with a strong attention to detail. You should have a general understanding of core administrative business processes. You will be supporting leaders who are located both in person in Toronto, as well as supporting others virtually in other locations.

Your responsibilities:

  • Effectively managing calendars across global time zone, including the coordination of meetings and video conferences.

  • Where necessary, coordinating business travel planning and related schedule changes

  • Planning and coordinating small internal and external events (e.g., strategy sessions, conferences and social events) whilst ensuring that logistics are adequately managed to ensure that all events run smoothly.

  • Serving as the main point of contact for external visitors and coordinating with operational teams to ensure compliance with security protocol/procedures.

Skills & behaviors:

  • A minimum of 2 years of related administrative experience.

  • The ability to maintain focus, complete tasks in a timely manner, set realistic timeframes for completion and provide updates as timelines change.

  • Interact autonomously with internal partners, independently follow through on requests and actions.

  • A strong sense of urgency about getting work done.

  • Excellent communication skills (written and verbal). Ability to add impact in person as well as virtually.

  • Proficiency in Microsoft Office and collaboration tools; comfortable navigating technology.

  • A flexible attitude and an ability to adjust or reprioritize and assume additional responsibilities as required.

  • Build positive rapport with different management styles.

  • Knowing and engaging with the right individuals/teams to solve problems in a timely manner.

  • Exercising discretion when handling or dealing with sensitive information.

  • Partner effectively with broader team and other APs.

The salary range for this position is CA$65,000 – $75,000 which is the equivalent of CA$33.33 – $38.46 per hour. Additionally, employees are eligible for an annual discretionary bonus, and benefits including heath care, leave benefits, and retirement benefits. BlackRock operates a pay-for-performance compensation philosophy and your total compensation may vary based on role, location, and firm, department and individual performance.

Our hybrid work model
