About this role

Job Responsibilities:

  • ​Gatekeeping: Screening and directing incoming calls and visitors.

  • Guiding Visitors: Providing directions and assistance to external and internal visitors.

  • Issuing Access Cards: Managing access control systems and issuing access cards to authorized personnel.

  • Travel Booking: Arranging travel accommodations including flights, hotels, and transportation.

  • Meeting Room Arrangement: Scheduling and preparing meeting rooms, including equipment setup and refreshments.

  • Visitor Affairs: Welcoming visitors, managing visitor logs, and ensuring a positive experience.

  • Local/Express Courier Management: Receiving, sorting, and distributing incoming mail and packages.

  • Sending Outgoing Mail: Organizing and sending local and express courier packages as needed.

  • Office Supplies Management: Ordering and maintaining office supplies inventory.

  • Office Maintenance: Coordinating maintenance and repairs for office facilities and equipment.

  • Invoicing AMEX Card Statement: Generating and processing invoices for American Express card transactions.

  • Providing Monthly AMEX Accrual List: Compiling a list of accrued expenses for accounting purposes.

  • Documentation of AP Invoices: Managing accounts payable documentation and filing.

  • Concur Report: Creating expense reports using Concur software.

  • Reconciling Invoices: Matching invoices with supporting documentation and maintaining invoice control lists.

  • Invoicing for Finance Clients: Generating invoices for services provided to clients.

  • Arranging Tax Invoices: Organizing and managing tax-related documentation.

  • Assistance for Tax Filing: Supporting the finance team with local tax filing requirements.

  • Miscellaneous Finance/Office Administration: Assisting with ad-hoc finance and office administrative tasks as needed.
