Job Description:

Role Overview

The role is for a London-based Personal Assistant supporting directly the Head of the Financial Institutions Group for EMEA. The successful candidate will be expected to deliver high quality, timely and flexible administrative support. They must have strong communication skills and be comfortable dealing with individuals at all levels of seniority. Core hours are 9am to 5pm with flexibility to work outside of these as appropriate.

Key Responsibilities

  • Provide comprehensive & pro-active diary management, including prompt booking and re-arranging of meetings/meeting rooms and managing schedule clashes

  • Arrange large and small (internal and external) meetings; including booking meeting rooms, ordering meals and refreshments, and arranging printing of documents. Providing support in executing meetings is as important as proactive planning

  • Provide day to day general administrative support; including but not limited to answering phones, printing off materials in preparation for meetings, checking PowerPoint presentations, assisting with the editing of documents etc.

  • Arrange travel, visas and accommodation, booking and making all necessary arrangements for business travel. The Head of FIG EMEA travels frequently, especially throughout Europe

  • Provide cover / holiday cover for assistants on adjacent teams as appropriate, arrange own cover when absent working with adjacent teams

  • Process and management of business expenses in a timely manner

Qualifications

  • Excellent communication skills

  • Execution focused with impeccable judgment and discretion

  • Highly organised with strong attention to detail

  • Ability to prioritise on behalf of self and others

  • Capacity to work flexibly in support of the Head of FIG EMEA and his leadership team, responding positively to change

  • Ability to work calmly and efficiently in a pressurised environment and to deal diplomatically with a variety of senior leaders, clients and external contacts

  • Forward-looking, self-motivated with a “can do” attitude. Able to use own initiative bringing drive and energy

  • Works to the highest standards and to deadline. Strong attention to detail

  • Ability to recognise issues and escalate in a timely and effective manner

  • Strong team player who will actively offer support and cover other duties as requested

  • Excellent PC skills, including Word, Excel, PowerPoint, MS Outlook

  • Working knowledge of European languages a plus, especially German, French or Italian
